Converting a quote to an invoice or work
Once a client says yes, SummitPSA turns the quote into something billable. A quote can be converted in two directions, and only an accepted quote that has not already been converted is eligible.
Convert to an invoice
- Open the accepted quote and choose Convert to invoice.
- A new invoice is created in
draftstatus for the quote's company, due 30 days out. - Subtotal, tax rate, tax amount, total and notes carry across; every priced line item is copied (section rows are skipped).
The quote records the resulting invoice so it cannot be converted to an invoice twice. Review and send the draft invoice as normal.
Convert to a contract
- Choose Convert to contract on the accepted quote.
- Set the contract type (defaults to
fixed_fee), billing frequency (defaults toone_time), a start date and an optional end date. - A new contract is created in
activestatus, named after the quote, with the quote total as its base price.
As with invoices, the quote is linked to its new contract and cannot be converted to a contract a second time.
The two conversions are independent — an accepted quote can be turned into both an invoice and a contract if needed.
