Warranty alert rules

Warranty alert rules track asset warranty expiry dates and prompt your team to plan replacements or renewals in good time. Manage them at Admin → Ticket Templates on the Warranty tab.

Which assets are checked

The daily check finds active assets whose warranty expiry falls exactly on a configured threshold and that are not set to auto-renew. A rule can apply to all asset types or be limited to chosen asset types.

Alert thresholds

Select one or more days-before thresholds from the presets (90/60/30/14/7) or add custom values.

Grouping

With group by company (the default), one ticket is raised per company covering all of that company's expiring assets in a single list. Turn it off to raise one ticket per asset instead. Deduplication ensures the same company/rule/threshold/expiry-period is not alerted twice.

What an alert does

  • Creates a ticket on the chosen board with a table of the affected assets (name, type, serial, expiry, days remaining) and an optional checklist. The ticket is assigned to the company's account manager, falling back to the rule's default agent.
  • Optionally notifies the account manager by in-app notification and email.

Ticket titles support {company_name}, {asset_count}, {days_before}, and {asset_types} tokens.

Pipeline view

The warranty pipeline at Warranty pipeline lists companies with assets expiring within the next 90 days, the earliest expiry, the account manager, and alert history. Rules that have already fired are deactivated rather than deleted.
